1. Where AI is used
Automated processing and AI models support the following features:
- Coach matching — scoring and a written rationale based on the goals, preferences and budget you provide.
- Rate assistant — suggested rate bands and a chat assistant for Coaches during onboarding and profile editing.
- Drafting assistance — help writing profile copy, offerings and marketing content, always reviewable before publication.
- Marketing and campaign generation for Platform-owned channels, including image and copy generation reviewed by an administrator.
- Safety and compliance checks — automated screening of listings, reviews and generated creative for policy breaches.
2. What the output is, and is not
All AI output is informational and probabilistic. It can be incomplete, out of date or wrong. It is not financial, legal, tax, medical, psychological or other professional advice, and it is not a Platform endorsement, certification or verification of any Coach. A match score does not guarantee fit; a suggested rate does not guarantee demand or income. You are responsible for reviewing and for anything you publish, price, send or act on.
3. Data handling
Prompts and the content needed to produce a result are sent to AI providers acting as processors under contract with us. We do not sell your data and we do not permit providers to use your content to train their foundation models. Do not enter health, financial-account, government-identifier or other sensitive data into AI features. Generated drafts and campaign assets are retained with the record they belong to.
4. Connecting your own HeyGen account (My AI Coach)
A Coach may optionally connect their own HeyGen account to Mindlab in order to generate AI presenter videos of themselves. This is entirely opt-in and is not required to use the Platform.
- When you connect HeyGen, you sign in at HeyGen and authorize Mindlab; we store the resulting access credentials encrypted on our servers and never show them to you or to anyone else.
- When you generate a video, the script, the personalisation values you enter and the identifiers of the avatar, voice and background you select are sent to HeyGen under your own connected account. Generation runs on your own HeyGen plan and HeyGen credits. Mindlab does not buy, pool, resell, meter or top up HeyGen credits.
- We read metadata about your HeyGen avatars, voices and media (names, identifiers, thumbnails) so you can choose them inside Mindlab, and we store the finished video in Mindlab's private storage so it stays available to you here.
- Your use of HeyGen is governed by your own agreement with HeyGen and by HeyGen's privacy arrangements. When you invoke the integration, Mindlab transmits to HeyGen the generation inputs you provide and the identifiers of the assets you select, so the requested action can be performed on your HeyGen account; HeyGen processes that information under the applicable HeyGen terms and privacy arrangements. Mindlab makes no independent legal characterisation of HeyGen's role (for example, as a processor or independent controller) — that is determined by the applicable HeyGen terms and any relevant data-processing agreement.
- You can disconnect at any time in Settings → Integrations. Disconnecting deletes the stored credentials and cached asset metadata from Mindlab. It does not delete anything held in your HeyGen account, which you control directly at HeyGen.
- You confirm at each generation that the avatar and voice are your own likeness or that you are authorized to use them, and you can report any generated video for administrator review. You are responsible for holding the rights and consents for any likeness, voice or content you use.
- We do not sell or resell HeyGen subscriptions or generation credits. Your subscription, credits and usage are governed by HeyGen. Nothing here states or implies a HeyGen partnership, endorsement or certification of Mindlab.
5. Human review and your choices
No AI feature makes a decision that produces a legal or similarly significant effect on you without a human in the loop: listing decisions, suspensions, payout holds and dispute outcomes are made or confirmed by an administrator. You can ignore any suggestion, edit any draft, and browse or filter the directory manually instead of using matching.
